Gym management system

Our task was to design two connected native apps that make gym management feel effortless — for the trainer scheduling sessions and the trainee following a live workout, both inside the same ecosystem.

Challenges

Challenges

Two users. One gym. One seamless system.

Two users. One gym. One seamless system.

The trainer's day is complex

Schedules, client profiles, health records, training programs, session requests — all things a trainer manages daily. The app had to organize all of it without becoming another thing to manage.

The trainee needs clarity, not information

A trainee opening their app wants to know one thing: what am I doing today? Everything else — class schedules, trainer profiles, subscription details — is secondary to that question.

White-label for any gym

The product would be sold to gyms and branded as theirs. The experience had to feel premium enough to carry any gym's identity — without being built for just one.

My Role

My Role

My Role

I led the UX direction across both apps alongside one designer — owning client communication, the full trainer and trainee journeys, and reviewing all output before delivery.

01

UX direction
Defined the experience for both apps: trainer scheduling and client management, trainee workout flow and session tracking

02

Live workout experience
Designed the step-by-step workout session — exercise by exercise, timer, sets, and seamless progression

03

Trainer-trainee connection
Designed the request, accept, and program assignment flow between both sides of the product

04

Review & quality
Reviewed all design output and ensured consistency and quality across both apps

Key Design Decisions

Key Design Decisions

The workout is a live experience, not a list. Most fitness apps show you a workout as a static list. We designed it as a guided session — one exercise at a time, with a timer, set counter, and a clear path to the next movement. The trainee is never wondering what comes next or how long they have.

Option considered

Display full workout plan as a scrollable list

Decision made

Live session mode — one exercise at a time, timer-driven, progressive

Trainer and trainee connected, not merged. The two apps share data — schedules, programs, progress — but the experience of each is built around what that user actually needs in the moment. The trainer sees their day. The trainee sees their workout. The connection happens in the background.

Premium feel built for resale. The apps would be sold to gyms and carry their branding. Every design decision — spacing, hierarchy, interaction quality — was made with the end user in mind, not just the gym buying the product. Premium experience first, white-label second.

Solution

Solution

Solution

One ecosystem. Two experiences.

01

Trainer app Daily schedule, client profiles with health records, session details, and program assignment — all in one place. Trainers can review who's coming in, what they're working on, and manage new client requests without leaving the app.

02

Trainee app Class schedules, trainer profiles, subscription status, and today's workout — surfaced clearly and without friction. The trainee always knows what's happening and what's next.

03

Live workout session Exercise by exercise. Timer running. Sets counted. One tap to move forward. The live session mode turns a training plan into a real-time guided experience — the trainee follows along, the plan does the thinking.

04

Request & connect flow Trainees request trainers. Trainers review profiles and accept. Programs get assigned based on level — beginner, intermediate, advanced. The connection between trainer and trainee is structured, clear, and tracked from day one.

Outcome

Outcome

Premium, smooth, and connected.
The client's feedback: the harmony between the two apps felt smooth, and the experience came across as premium and polished. Two separate user journeys — trainer and trainee — that work independently and together, without either feeling like an afterthought.
